Fleet Support Group is one of the largest independent vehicle management companies, providing a comprehensive range of products and services to in-house and outsourced vehicle fleet operators across the UK.
The company receives approximately 120,000 invoices per annum. Manual invoice processing took them a long time and was often given to night and weekend staff to complete. They approached DCS to provide one centralised, computerised invoicing solution.
Following an onsite review of the existing Fleet Support Group purchase to pay processes, Data Capture Solutions (DCS) installed an on-premise solution for scanning, capture, indexing and automatic classification of all incoming invoices and credit notes.
Documents are scanned on arrival through a Kodak i4200 scanner which has a throughput of 100 pages per min. Kofax capture and transformation modules then automatically extract and classify the information. Invoices are then posted straight through to the ERP system ready for payment.
The automated invoice processing solution implemented for Fleet Support Group has eliminated wasted administration time spent manually sorting paper invoices and so significantly reduced invoice processing costs overall.
